Privacy policy

This page explains what the CoachAk website (https://www.akthecoach.com) and the CoachAk client app collect, why, who else handles it, and what you can ask us to do with it. CoachAk is a one-to-one online bodybuilding coaching business. Health information, such as bloodwork, weight and progress photos, has its own page with more detail: the Consumer Health Data Privacy Policy.

The short version

  • CoachAk does not sell your information.
  • CoachAk does not share your information with advertisers, and the site has no advertising trackers.
  • Inside the app, a client's information can be seen only by that client and their coach.
  • For a copy of your information, to correct it or to have it deleted, email coach@akthecoach.com.

If you visit the website

Page counts. When you open a public page (for example the home page, the blog or a calculator), the site records which page it was, when, which site sent you there (such as Google or Instagram), whether you use a phone, tablet or computer, and your country. To count each visitor once a day, your internet address and browser name are turned into a scrambled code that changes every day. Your internet address itself is not saved, and no cookies are used for this. These records are deleted after 100 days. Visits from people logged in to the app, and from search engine robots, are not counted.

The public pages may also use Vercel Web Analytics, a visitor counter from Vercel (the company that runs the website), which counts page views, where visitors came from, their country and the kind of device, operating system and browser, without cookies.

Calculators. The free calculators work in your browser. Nothing you type into them is sent to us or saved.

Ask CoachAk. When the Ask CoachAk chat is switched on, your question and the conversation so far are sent to Anthropic, the company that makes the Claude AI, so it can write the answer. CoachAk does not save your questions or the answers: the site only counts that a question was asked, and on which page. The conversation stays in your browser tab until you close it. Your internet address is used, in the server's memory only, to limit how many questions one person can ask, and is never saved. Please do not type private medical details into the chat.

Applying for coaching. The application form asks for your name, email address and why you want coaching, and optionally your goal, phone number, Instagram name and training history (which may include injuries you mention). It is stored so CoachAk can read it and reply, together with any notes CoachAk writes about your application and a copy of any email CoachAk sends you from it. It is kept until CoachAk deletes it or you ask us to.

Booking a call. You may be offered a short call with CoachAk before you start, through a private booking link on the thank-you page or in an email. If you book one, the site stores the time you picked, the phone number to call you on (for a phone call), your note if you write one, your browser's time zone (so times show in your own time) and when you booked or cancelled. When a call is booked or cancelled, you and CoachAk each get an email with a calendar invite; CoachAk's copy shows only your first name and the time. Anyone with your booking link can see and change your booking, so keep it to yourself. A video call happens on the video service whose link is in your booking, under that service's own privacy policy. Your booking is kept with your application and deleted with it.

Newsletter. If you sign up for the free newsletter, the site stores your email address, which sign-up box you used, when you signed up and confirmed, how many confirmation emails were sent and when (so nobody can use the sign-up box to flood an inbox), and the codes that make your confirm and unsubscribe links work. You only join once you press Confirm on the page the confirmation email links to. If you never confirm, you get no newsletters, and your address is deleted by the first sign-up from anyone after it is more than 30 days old and its newest confirm link (which works for 7 days) has run out. Once you have joined, the site also records which issues were sent to you, so no one gets the same issue twice. Each issue has new articles and a line inviting you to apply for coaching. The newsletter does not track whether you open it or which links you click: its links only let the page counts above show that a visit came from the newsletter, never who it was. To leave, use the unsubscribe link at the bottom of any issue, or your email app's own Unsubscribe button: your address and the record of what was sent to you are deleted straight away. Your internet address is used, in the server's memory only, to limit how many sign-ups one person can make, and is never saved.

Contact form. If you send a message from the Contact us page, the site stores your name, email address, what it is about, your message and when you sent it, so CoachAk can read it and reply. It is also emailed to CoachAk's inbox, so the reply can come straight to you. Your internet address is used, in the server's memory only, to limit how many messages one person can send, and is never saved.

Gift cards. If you buy a gift card, you pay in Stripe's own secure payment form (see "Who else handles it"). The names you type, the email address of the person it is for, your message and your own email address are kept with the payment and the gift card code in Stripe, so the code can be emailed and used. If you are the person it is for, your name and email address come from the buyer.

If you are a client

To coach you, the app stores:

  • Your account: your name, email address and phone number, your goal, your start date, and the coaching plan and monthly price your coach records. Your password is handled by Supabase's login system (see below) and is never stored by CoachAk. The temporary password in your welcome email stops working once you choose your own.
  • Your coaching: your answers to the welcome questionnaire, your check-ins, weigh-ins and body measurements, progress photos, training log, habits, form-check videos, bloodwork if you choose to add it, your messages (including photos and voice notes), and the program, targets, feedback and notes your coach writes for you.
  • Phone notifications: if you turn them on, an address for that device so notifications can reach it. You can turn them off on your Account page.
  • Payments: if you pay on our website, which plan or one-off you bought, what you paid and when, whether a payment failed, and a link to each receipt. Your card details go straight to Stripe (see below) and never reach CoachAk.

Much of this is health information. The Consumer Health Data Privacy Policy explains exactly which, and your rights over it.

The app also keeps a few things on your own phone or computer, such as a workout you have started logging, so it is not lost if you close the app.

Cookies

The site's own cookies are the login cookies that keep you signed in to the app. If you open the payment form on our site, Stripe's form may set Stripe's own cookies, which Stripe uses to keep payments safe from fraud. There are no advertising cookies.

How your information is used

Only to run the coaching and the website: to show your information to you and your coach, to send you the emails and notifications the app sends, to send the newsletter to people who signed up for it, to keep the site working, and to count visits. It is never sold and never shared with advertisers.

Who else handles it

CoachAk uses these companies to run the site and the app:

  • Vercel runs the website and the app, so your visits and everything you send in the app pass through Vercel.
  • Supabase stores the database, the logins and the files (photos, videos, voice notes and lab reports).
  • Resend delivers the app's emails, such as the welcome email and alerts about new messages, the newsletter, messages from the contact form, gift card emails, call bookings and emails CoachAk writes to applicants. An alert says who a message is from, never what it says.
  • Your phone's or browser's notification service (for example Apple's or Google's) delivers phone notifications, if you turn them on. A notification says who something is from, what kind of thing it is (for example which exercise a form check is for) and where to tap, never what a message says or any health details.
  • Anthropic receives only what visitors type into the Ask CoachAk chat on the public site. Client information from the app is never sent to it.
  • Google Workspace holds CoachAk's email inbox, so emails you send to coach@akthecoach.com are kept there.
  • Stripe takes payments, if you pay on our website or buy a gift card. It receives your name, email address, card and billing details and what you bought (for example a plan, a Bloodwork Review or a gift card, with the gift card details above), and keeps payment records for as long as the law requires. When you open the payment form on our site, Stripe's form runs on our page, and Stripe collects details about your device and how you use the form, to prevent fraud.

CoachAk's own statistics page also shows which Google searches led people to the site. Google supplies that as totals of search words, with nothing about who searched.

Each of these companies handles your information only to provide its service to CoachAk. CoachAk only uses companies that commit to protecting your information to the same or an equal standard as this policy.

No one else receives your information, unless the law requires it.

How long it is kept

  • Page counts: 100 days.
  • Ask CoachAk questions and answers: not saved by CoachAk. Anthropic may keep them for a limited time under its own data policy.
  • Applications, with any call booking and the emails CoachAk sent about them: until CoachAk deletes them, or you ask us to.
  • Contact form messages: until CoachAk deletes them, or you ask us to.
  • Gift cards: in Stripe's payment records, for as long as the law requires.
  • Newsletter: until you unsubscribe or CoachAk removes you. A sign-up that is never confirmed is deleted by the first sign-up from anyone after it is more than 30 days old and its newest confirm link has run out.
  • Client information: while your account exists, including after your coaching ends, so your history is there if you come back. Nothing is deleted automatically when coaching ends: ask us and we will delete it.
  • Form-check videos: after your coach has replied, the app clears out videos whose reply is more than 30 days old each time your coach answers a form check. The written feedback stays.
  • Bloodwork: until you delete it, which you can do yourself at any time with "Delete my bloodwork".

What you can ask for

You can ask for a copy of your information, ask us to correct it, or ask us to delete it, by emailing coach@akthecoach.com from the email address on your account. We answer within 45 days. Clients can also see their check-ins, photos, bloodwork and messages in the app until their coaching ends. The Consumer Health Data Privacy Policy explains how to withdraw consent and how to appeal if we refuse a request.

Keeping it safe

The database itself checks who is asking: a client can only ever reach their own information. Photos, videos, voice notes and lab reports are kept in private storage and open only through links that expire. If a security breach exposes your information, we will tell you by email without undue delay, and no later than 30 days after we find out.

Tracking across other websites

Apart from Stripe's fraud checks when you open the payment form (see "Cookies"), no outside company collects information about your activity across other websites through this site, so the site does not change its behaviour for Do Not Track signals.

Changes to this policy

When this policy changes, the "Last updated" date at the top changes too. If we make a material change, we will tell clients by email or in the app before it takes effect.
